Introduction to Itinerary Building




OAG Travel Planner allows you to customise so that it knows many of the details for your company's travel policy. The term 'trip plan' is used instead of 'itinerary'. When you log on to the system you will be shown this screen:

 

 

 

Once you have entered your Id and Password you can click on "Edit Profile". This will enable you to enter company and individual preferences on airlines, hotels and other details. You can change these preferences for the whole company or for individuals whenever you log in to the system.

 

Under "Profile Name" click on "Edit".

 

You will then see a screen featuring FOUR tabs, "General", "Setup Options", "Flight Prefs" and "Hotel Prefs". Click on the tab you wish to change.

 

This example screen shows I have selected the "Setup Options" tab. This now allows you to change the Setup Options so that you can view the results in a style or format that you are familiar with - such as the 12 hour or 24 hour clock.

 

 

Once you have made your changes click on "Save/Close".  This will return you to your profile list.  Having made changes for all travellers click on "Close" to continue into OAG Travel Planner.

 

The plans for a business trip begin with a business traveller needing to be in a city - or a number of cities - on specific dates for reasons like meetings, presentations, conferences, exhibitions and research.  The conferences and exhibitions will have fixed dates, as will many of the meetings.  The business traveller will usually have set aside the dates for the trip well in advance, particularly for national or international events like conventions.

 

Case Study:  Mr Stephen Miller has the following meetings that must be fitted into an intinerary:

 

  • Monday 10 April 1530 meeting with Mr Kevin Warwick at the offices of Dermott & Godwin, close to the World Trade Centre in Boston, USA.
  • Monday 10 APril 1900 dinner as gueset of Dermott & Godwin
  • Tuesday 11 April, travel to Sao Paulo, Brazil
  • Wednesday 12 April 1030, meeting with Samuel Batt of Greyson Inc in Sao Paulo, Brazil

Mr Miller will arrange further meetings in Sao Paulo during the next few days.  He will stay until 12 April and because the details of the other meetings are not yet fixed, he wants a flexible ticket for his flight from Sao Paulo to London.

 

Mr Miller lives in Canterbury, south east of London, UK.  We entered that as his departure point and were told the distance between his home and London's different airports - we selected London Heathrow (LHR 83.0 mi NW).

 

 

Lets look carefully at this itinerary.  The first direct flight arrives into Boston International Airport at 13.00, in good time for his first meeting at 15.30.

 

 

 

 

On the following day, Tuesday 11 April, Mr Miller flies on to Sao Paulo. He was hoping for an early morning flight so that he would arrive in Sao Paulo late evening.  However, all of the options are overnight flights so he decides to take the earliest connecting flight departing Boston at 1555 and arriving in Sao Paulo at 0530 the next morning.  In order for Mr Miller to arrive ready for meetings, he's requested that this leg of the trip be booked in first class so that he can have a lie flat bed.  He will then shower using the airports facilities and be ready for his meeting at 1030. His return flight to LHR departs at 2230 that evening.

 

 

 

Mr Miller has not been to Brazil before and would like some general information.  We clicked on Sao Paulo to get Ground Transportation information (See Unit 3 - International Information) which we printed out for him to take with him.

 

 

 

On this occasion, there is no need to include hotels in the itinerary because these have been booked locally by the people he is going to visit.

 

With all of the flight information added, the Trip Plan looks like this:

 

 

 

  • Remember to save this trip plan by a file name such as Miller 10-12 April
  • When the itinerary looks complete you can email the trip plan to the traveller or directly to your travel agent
  • You can print out the trip plan - either as it is now or when you have added some notes
